How PodFleet operates
A Pod isn't a team you manage.
It's an operating system you plug into your business.
PodFleet is an AI-enabled managed operations company that runs the operational layer of 7-figure creator, eCommerce, and SaaS businesses through managed Pods, pre-composed teams led by a senior operator with AI workflows built in.
Below: the four layers under one invoice, the daily cadence, the WAT operating system, and what happens when a pod member underperforms.

One Pod is one atomic unit of sale. PodFleet hires, trains, manages, and replaces every member end-to-end. The composition is published, not negotiated, and adjusts by bracket as you scale.
The structure
Four layers, one invoice.
1
The Pod Operations Lead (POL)
Your single point of contact. A senior operator with 7+ years running creator, coach, and SaaS operations. The POL hires the rest of the Pod, sets the work plan, runs your weekly review, and replaces any underperformer within 10 business days. You never run an HR process again.
2
The specialists
A team of specialists across customer support, community, content operations, data and admin, and AI/automation. Cross-trained so vacation and sick days don't break anything. All employed by PodFleet, W-2 employees with audited access, not 1099 contractors you have to manage tax docs for.
3
The WAT layer
Workflow, Agents, Tools, the operating system underneath the pod. Workflows (SOPs) are built once during the Pod Trial and owned by you forever. Agents are the humans plus AI assistants doing the work. Tools are the stack they run on, yours, integrated, or recommended.
4
PodFleet HQ
The team behind the team. Quality assurance, training, recruiting, and POL coaching. You never see this layer. It's why your Pod doesn't fail when one person leaves.
A day in the life
What actually happens.
You see one async update per day. Friday you get a full report. That's it. Everything below runs without you in the room.
| Time | Pod member | Action |
|---|---|---|
| 9:00 | POL | Daily standup with the pod, 15 min, async-first |
| 9:30 | CX specialist | Clears support inbox to inbox-zero on SLA tickets |
| 10:00 | Community manager | Replies to Skool/Circle/Discord/Facebook |
| 11:00 | Content operations | Schedules the week's YouTube + newsletter |
| 13:00 | AI specialist | Runs the daily automations: CRM updates, lead routing, report generation |
| 14:00 | Data specialist | KPI dashboard update and Friday-report prep |
| 16:00 | POL | Async update sent to founder (Loom or Slack) |
The WAT formula
Every ops problem is one of three things.
Generic BPOs sell you Agents. PodFleet sells you all three layers as one operating system.
The repeatable process. Every recurring task is documented, versioned, and reviewed weekly. SOPs live in your Notion or Drive, owned by you forever.
The humans plus AI assistants doing the work. PodFleet hires, trains, manages, and replaces every human. Every pod includes an AI specialist by default.
The systems they run on. We integrate what you have. We recommend what you need. No proprietary platform you'd have to migrate off later.
Quality & replacement
What if someone underperforms?
Every pod member has a 2-week performance window. If a member is the wrong fit, the POL replaces them within 10 business days, no interviews, no performance plans on your side. PodFleet absorbs the transition cost.
We keep 3 trained backups per specialist role on the PodFleet HQ bench, so replacement doesn't mean restart. Continuity is the unit of value, not warm bodies.
Tooling philosophy
We bring tools. We don't force them on you.
We integrate with
We bring in when needed
- Airtable (ops dashboards)
- n8n / Make / Zapier (automation)
- GoHighLevel (CRM when there isn't one)
- Loom (async standups)
- Notion (SOP wiki)
No proprietary platform. No vendor lock-in. Everything migrates with you.
